What personal data we collect and why we collect it
Booking Calendar
To administer bookings the Hall’s Booking Team maintain an electronic record of the data listed in 1. to 8. below, thus allowing a smooth re-booking process and to satisfy any legal, accounting or reporting requirements including those of the Hall’s Insurance Company.
- Name of Hall Booker and any associates e.g. treasurer, required to facilitate booking and payment
- Name of your organisation where appropriate
- The Hall Booker’s postal address and telephone number(s)
- The Hall Booker and any notified associates email address(es)
- Date and times of the required booking and the nature of the activity to be conducted at the Hall, e.g. Private Party
- Confirmation that you have read the Hall Rules and agree to comply with them
- Confirmation that you are happy for the WSVH to retain the above information on their files
West Stoke Village Hall employs the Hallmaster booking system. Hallmaster Ltd is a data processor and has access to the data listed above. Hallmaster Ltd has its own Privacy and Cookies Policies, detail of which can be found on the website https://www.hallmaster.co.uk, under the ‘About Us’ tab.
Contact forms
When you submit a contact form on our website, the data is treated as if you had sent us an email directly. It is not stored on our web-server, but your contact information and message will be emailed to the bookings manager. Please do not include any sensitive information in your message. Any information you provide will be used solely for the purposes of responding to your enquiry.
Our contact forms make use of Google Recaptcha for spam prevention purposes. This is a necessary tool and requires data sharing with Google – please see our cookie policy for more information on 3rd party services.

The West Stoke Village Hall will only retain personal data for as long as necessary to fulfil the purposes for which it was collected.
What rights you have over your data
At any stage you may ask the Hall’s Management Committee to show you the data held upon you, this may take up to one month. Should you identify an error in the data held, the Hall will correct it. Alternatively you can ask for all of you data to be deleted, however you will be unable to make bookings.
